Registration Cancellation and Refund Policy

 

This Cancellation & Refund Policy applies to all delegate registrations purchased for EMEA CHRIE 2026.

1. General Registration Terms

By registering for EMEA CHRIE 2026, attendees acknowledge and agree to the terms outlined in this policy, including cancellation timelines, refund eligibility, force majeure provisions, and travel-related responsibilities.

All cancellation requests must be submitted in writing to the official event registration email address.

Refunds, where applicable, will be processed to the original payment method used during registration or through an alternative method communicated to the attendee by the organizer.

Special requests may be considered on a case-by-case basis at the sole discretion of the event organizer, whose decision shall be final.

All administrative processing fees, VAT, and gateway charges (up to 10% of the total ticket value) are non-refundable. Consequently, any applicable refund deductions may amount to up to 10% of the total transaction value

2. Standard Cancellation & Refund Policy

Cancellation Before the Event

No refund applicable.

No-Show Attendees

No refund applicable.

3. Ticket Transfers & Substitutions

Ticket transfers and delegate substitutions are not permitted.

4. Visa Rejections

The issuance of a visa is the sole prerogative of the host country’s immigration authorities and is entirely outside the control of the event organizers. As such:

  • Non-Refundable Status: Registration fees are strictly non-refundable in the event of a visa rejection, delay, or failure to obtain travel authorization once the application has been submitted.
  • Delegate Responsibility: It is the responsibility of the attendee to ensure they meet all entry requirements and apply with sufficient lead time.

5. Official Government Travel Ban

Due to changing international travel advisories and potential regional instability affecting parts of the Middle East, the following policies shall apply, if:

  • The attendee’s home government formally bans travel to the host destination; or
  • Border closures or airspace restrictions make travel impossible,

Approved refunds remain subject to administrative, VAT, and gateway fees, which may amount to up to 10% of the total ticket value.

Flight Cancellation due to Airspace Closure

Attendees may request a refund for the event period of November 8–12, 2026, if either of the following conditions is met:

  • Airspace closures completely prevent travel to the destination; or
  • Airline operations to the destination are formally suspended.

Approved refunds remain subject to payment processing fees, VAT, and administrative charges, up to 10% of the total ticket value. Outside of these circumstances, registration fees are strictly non-refundable.

6. Event Postponement, Hybrid Conversion or Cancellation

The organizers, together with the host institution and EMEA CHRIE board members reserve the right to:

  • Reschedule the event
  • Change the venue
  • Convert the event to a hybrid or virtual format
  • Cancel the event

due to circumstances beyond reasonable control.

Such circumstances may include, but are not limited to:

  • War or regional conflict
  • Terrorism threats
  • Government restrictions
  • Pandemic
  • Civil unrest
  • Natural disasters
  • Airspace closures

(collectively referred to as “Force Majeure”)

If the Event is Postponed

Should the event be postponed by the organizer, registrations may be refunded upon request. All such refunds are subject to a deduction of applicable payment processing fees, VAT, and administrative charges, amounting to up to 10% of the total ticket value.

If the Event Converts to a Hybrid or Virtual Format

Registrations will automatically convert to the applicable ticket type.

No refunds shall be issued due to pricing differences between in-person and hybrid/virtual formats.

If the Event is Cancelled by the Organizer

Should the organizer cancel the event, registration fees may be refunded upon request. All such refunds remain subject to a deduction of applicable administrative and transaction processing fees, amounting to up to 10% of the total ticket value. Beyond this provision, the organizer accepts no liability for any additional travel or accommodation losses incurred.

The organizer shall not be liable for any third-party expenses, including but not limited to:

  • Flights
  • Hotel accommodations
  • Visa expenses
  • Insurance costs
  • Currency exchange losses
  • Other travel-related expenses

7. Refund Processing Timelines

Approved refunds will typically be processed within 30–45 business days. To facilitate the transfer, the organizers (GD+), may require additional documentation, including full bank details.

Processing timelines may vary depending on:

  • Banking institutions
  • International card issuers
  • Currency conversion providers
  • Payment gateways
